Campus Posting, Chalking, and Banner Policy
A. General Policy
Any group or agency seeking to post on the campus of Oklahoma State University—including the Student Union, classroom buildings, and adjacent outdoor spaces—through signs, flyers, banners, handbills, or sidewalk chalk must obtain prior approval.
Posting is defined as the placement of messages by any media for marketing, promotion, solicitation, advertising, order-taking, sales, proselytization, or campaigning (political or otherwise) for a future event, meeting, product, or service.
Areas under the Director of the Student Union’s posting responsibility include, but are not limited to:

Student Union Building, North Plaza, and parking garage

Formal Gardens, International Mall, Theta Pond

Various campus lawns (Engineering, Old Central, Gundersen, Seretean, Willard, etc.)

Bulletin boards in Ag Hall, Business Building, Classroom Building, Engineering buildings, Life Sciences, Morrill Hall, Physical Science, Seretean Center, Wellness Center, Whitehurst, and others
Permission to post in these areas is limited to recognized campus organizations, university departments, and governmental or educational agencies. A designated contact person is required.
All posting is limited to designated areas and requires a posting permit issued by Student Union Meeting & Conference Services (M&CS).
Posting space is assigned on a first-come, first-served basis and is subject to availability and scheduling discretion. Exceptions must be approved by the Manager of Meeting & Conference Services and/or the Director of the Student Union.
B. Posting of Signs, Handbills, Flyers, and Displays
(Student Union and Classroom Buildings)
Procedure
A representative of the sponsoring group must bring posting materials to Meeting & Conference Services (179 Student Union) to obtain a permit. Once approved, each item must be stamped by M&CS.
Regulations

Posters and flyers may not exceed 400 square inches without special approval.

Banner stands are permitted only during approved tabling and may not exceed 84” x 36”.

The sponsoring organization’s name must appear on all materials.

Non-English materials must include an English translation.

Publicity encouraging alcohol abuse is prohibited.

Unstamped or expired posters will be removed. Only one poster per event per bulletin board is allowed.

Posting on walls, trees, trash cans, elevators, etc. is prohibited.

Sidewalk painting is prohibited. Chalking requires a permit.

Lawn signs for campus elections are registered by SGA.
-
Moving or relocating signage is prohibited without approval.

All university, state, and federal laws must be followed.

Solicitors must comply with all OSU and Student Union regulations.

Posting permits may be denied or revoked for reasons including:

Policy violations
-
Misrepresentation or falsification
-
Interference with OSU’s educational mission
-
Obstruction of pedestrian or campus traffic
-
Violations may result in loss of future posting privileges
C. Posting in Residence Halls
Posters must be registered with Meeting & Conference Services (179 Student Union). All regulations listed in Section B apply. Arrangements must also be made with each Residence Hall Coordinator.

D. Solicitation Permits
Applications and permits are available at Meeting & Conference Services, 179 Student Union.
E. Chalking Guidelines
Procedure
Chalking requires a permit obtained through Meeting & Conference Services.
Regulations

Sponsoring organization’s name must be included.

Maximum size: 5’ x 5’.
-
A minimum of 15 feet must separate chalking by the same group.

No sealants or fixatives allowed.
-
Spray chalk is prohibited.
-
Steps, ramps, and covered areas are not permitted.
-
Chalking may not overlap another group’s work.
-
A permit is required for each announcement.
-
All details must be approved before chalking begins.
F. Banner Guidelines
All banner, signage, election sign, and symbolic decoration requests are processed through Meeting & Conference Services in coordination with the Space Utilization and Signage Committee.

Guidelines

Maximum size: 3’ high x 8’ long (exceptions require approval).

Facilities Management installs banners (except Student Union and Alumni Center).

Maximum display duration: 5 business days.
